Information management systems

We use Studio Ninja to manage enquiries, client communications, proposals and bookings. We also use Google services for cloud storage and related business activities.

Personal information may be stored or processed through these services, depending on the nature of the enquiry or booking. These providers may process or store information in locations outside Australia. We take reasonable steps to use appropriate security settings and to protect information held in our business systems.

We recommend that clients avoid sending sensitive information that is not required for their enquiry or booking.

Use of wedding imagery and promotional material

Our live wedding painting business may publish photographs of completed paintings, behind-the-scenes painting activities, and identifiable wedding photographs on our website, social media accounts, portfolio, promotional materials and other marketing channels.

Where we intend to use identifiable images of the couple or other individuals for promotional purposes, we will seek appropriate permission and explain the intended use. Permission for promotional use is separate from providing photographs or information required to create a commissioned painting.

We will take reasonable care when handling images of wedding guests and children and will consider requests concerning the use of identifiable images.

You may contact us to discuss an image or raise a privacy concern. We will consider reasonable requests to remove or stop using promotional content, subject to applicable legal obligations and any relevant rights or agreements.

Retention of enquiries and client records

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including responding to enquiries, managing bookings, providing commissioned artwork, maintaining business records and meeting legal obligations.

Where an enquiry does not result in a booking, we generally aim to delete or de-identify the associated personal information after 24 months from the last meaningful contact, unless there is a documented business or legal reason to retain it for longer.

Information relating to bookings, payments, contracts and completed commissions may be retained for longer where reasonably necessary to meet contractual, accounting, tax, legal or other legitimate business requirements.

When personal information is no longer required, we take reasonable steps to securely delete it or de-identify it, subject to applicable legal requirements.
